Project field reference

Below are the fields on the New Project form and their corresponding validation rules and usages across the app.

Name

  • Definition: The name of the project.
  • This is displayed across the app in lists, dashboards, reports, plan pages, and the Organogram.
  • It is used when searching for and sorting projects.

Description

  • Definition: A short, internal description of the project.
  • Helps provide context in reports and overviews.

Project Code

  • Definition: An internal short code for identifying the project.
  • Appears in project lists and exports and can be used for cross-system mapping.

Priority

  • Definition: The importance of the project (High, Medium, Low).
  • Used in filters, sorting, and dashboards to indicate urgency or importance.

Win Probability

  • Definition: Confidence level in winning the engagement (Low, High, Certain).
  • Helps with pipeline forecasting and prioritization in the early stages.

Project Type

  • Definition: The billing nature of the project (Billable, Non-Billable, Firm Contribution).
  • Only billable projects can have rates assigned to resources; non-billable projects automatically set project resource rates to 0.

Currency

  • Definition: The billing and expenses currency for the project.
  • Applies to invoices and expense claims and determines the symbol and tax acronym displayed in financial UI elements.

Estimated Value

  • Definition: A best-guess total value for the project.
  • Used in pipeline and financial projections, as well as high-level project KPIs.
  • Can appear on dashboards and reports, subject to role permissions.

Start Date

  • Definition: Planned start date for the project.
  • Drives project schedule creation and planning windows.

End Date

  • Definition: Planned end date for the project.
  • Defines the end of the scheduling window and overall planning horizon.

Country

  • Definition: The primary country where the project operates.
  • Determines regional context and reporting.

Offerings

  • Definition: One or more offerings that describe the nature of work.
  • Controls which designations (rate cards) are selectable during organogram setup.

Select Client

  • Definition: The client organization for the project. Leave blank for internal projects.
  • When a client is selected, invoicing fields (Invoice Day of Month, Invoice Frequency, Payment Terms) become required and enabled.
  • Used in client-centric views and reports.

Proposal Submission Deadline

  • Definition: The date by which the proposal must be submitted.
  • Supports proposal management and timeline visibility.

Proposal Expiry Date

  • Definition: The date after which it's reasonable to assume the proposal was not won.
  • Helps with pipeline tracking and expected decision timelines.

Invoice Day of Month

  • Definition: The day of the month an invoice is expected to be sent.
  • Drives invoicing cadence and reminders and is disabled if no client is selected.

Invoice Frequency

  • Definition: The invoicing cadence (Every month; Once in 2 months; Once in 3 months).
  • Used by invoicing scheduling logic and is disabled if no client is selected.

Payment Terms

  • Definition: When payment is due after an invoice (Same as Client; 14/30/60 Days; On Invoice).
  • Used to compute due dates and aging for invoices and is disabled if no client is selected.

Mileage Rate

  • Definition: Default rate per kilometer (excl. tax) for mileage expense claims.
  • Prefills and standardizes expense claims on this project.

Accommodation Rate

  • Definition: Default rate per night (excl. tax) for accommodation expense claims.
  • Prefills and standardizes expense claims on this project.

Subsistence Rate

  • Definition: Default rate per day (excl. tax) for subsistence expense claims.
  • Prefills and standardizes expense claims on this project.
